Closure Reasons

Notes: Document deletion is Admin-only. Case Managers can create, manage, close cases and upload, but cannot delete documents or manage billing. Reviewers can update status, upload, and request info, but cannot create cases, submit info, or close cases. Read Only can view and export only.

Max file size: 100 MB on paid plans, 10 MB per file on the free trial (the trial also limits files per case). Batch uploads are capped at 1 GB total. Legacy .doc and .xls are not supported.

When You Can Refuse

Common Actions
Create a case
Sidebar β Cases β New Case β choose "Manual Entry" or "From Email" β fill in the form β Create Case
Add documents to a case
Documents are attached through a case action β there is no standalone upload button:
Open the case β Request Info, Submit Info, or Close Case β attach files
The file picker lets you select several files at once (hold Ctrl on Windows / Cmd on Mac).
Redact PII
Redactable files you attach are scanned automatically β there is no separate “analyze” button:
Attach files β Review Detected PII β select what to redact β Redact Selected β review β Confirm & Attach to Case
You can also choose Skip Redaction to attach files unchanged.
Verify identity
Open the case β Mark Verified
One click; the verification is timestamped on the case for your audit trail. (Requests submitted through the public portal are verified automatically by the portal token.)
Extend a deadline
Open the case β More Actions β Extend Deadline β choose 30 or 60 days β add a reason β Extend Deadline
The data subject is automatically emailed about the extension.
Close a case
Open the case β Close Case β choose a Closure Reason (and a Refusal Ground if rejecting) β add notes β Close Case
Invite a user (Admin)
Sidebar β Users β Invite User β enter email β select role β Send Invitation
Admin-only case actions
- Delete a document: open the case β the document’s Delete button β choose a reason. This is a soft delete β restorable until the case is closed.
- Anonymise a case: open the case β Manual Anonymization (irreversible; removes the case’s documents).
- Legal hold: open the case β Place Legal Hold / Release Legal Hold.
